CAIR-LA Job Announcement: Executive AssistantOverview:Title: Executive AssistantReports to: Deputy Executive DirectorSchedule Type: Full-time (Exempt)Location: Hybrid schedule with office located in Anaheim, CA.

Requires travel throughout the Greater Los Angeles Area.Pay Range: $63,000 $70,000 for individuals with 0-2 years of experience.$70,000 $80,000 for individuals with 3+ years of experience.Duties & Responsibilities:Manage special projects and initiatives on behalf of the Deputy Executive Director:Manage interoffice and interdepartmental coordination for CAIR-LA’s special projects, including Afghan refugee response, establishment of Center for the Prevention of Hate and Bullying, COVID-19 health equity project, and other projects as they arise.Handle communication, both written and oral, with key stakeholders including funders, community leaders, and institutional partners.Draft proposals, reports, and presentations as needed for special projects.Administrative support:Act as the point of contact for Deputy Executive director with employees, clients, and other external partners.Manage expense and quarterly report coordination and submission.Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events).Track and help drive completion of key deliverables and follow up on outstanding items for Deputy Executive Directors direct reports.Manage team space, including moves and re-configurations.Manage calendar, set up/attend meetings, and take detailed notes in meetings.Format information for internal and external communication memos, emails, presentations, and reports.Screen and direct phone calls, text messages, and emails, and distribute correspondence.Make travel and accommodation arrangements for Deputy Executive Director as well as for special projects and programs, as needed.Assist Deputy Executive Director in recruitment and hiring process.Public affairs and communication:Manage and maintain strategic working relationships and communication with local, statewide, and federal policymakers, officials, key agencies (e.G California Department of Social Services) and others.Organize periodic local/state meetings and strategic engagements with legislators and community leaders.Support the Deputy Executive director in legislative processes and advocacy efforts (e.G legislative meetings, briefings, federal/state/local hearings, press engagements, etc.)Represent the Deputy Executive director in federal/state/local political engagements, media involvement, community events, coalition meetings, and other organizational efforts as needed.Assist with all fundraising and sustainability projects, as needed.Other Duties as Assigned, but not limited to:Full-time with occasional evenings and weekends required.Occasional travel locally for outreach including participating in community events.All CAIR staff are required to assist in general duties such as answering phones, weekly outreach, fundraising, job recruitment, and other office tasks as required.COVID-19 Considerations: All employees and visitors are required to follow safety procedures such as wearing a mask on-site.

Proof of COVID-19 vaccination is required as a condition of employment before date of hire.Qualifications: Work experience as an Executive Assistant, Personal Assistant or similar role.Familiarity, knowledge and experience working with the American Muslim community.Proficient with the Microsoft Office Suite, specifically Outlook, Word, Excel, SharePoint, and PowerPoint.Outstanding organizational and time management skills.Familiarity with office technology and applications (e.G.
