Position Overview:The Executive Assistant to the Executive Director is a positive, goal-oriented person who continuously seeks opportunities for personal and professional growth.

The ability to work through projects under minimal supervision is very important.

High integrity, discretion, and the ability to anticipate needs, drive to exceed expectations, and work efficiently are all important skills for this position.

Living near the Southern Orange County area and willingness to be available occasionally for physical tasks is expected.

Position Strategic Focus:Overall, the strategic focus of the executive assistant is to manage the details with high integrity and discretion, to allow the Executive Director to focus on executive decisions and vision for the company.Create and manage tasks the Executive Director has assigned to other team membersOrganize files and reference materials in accordance with the Company Records Management SystemManage and prioritize Executive Director emailsManage and maintain Executive Director calendar and schedule meetings Special projects that may include research, data analysis, or creative briefs Document and distribute memosCreate and distribute agendas for various meetingsAssist in personal tasks and errands for the Executive Director and their familyAttend divisional meetings and filming days in-person as neededSchedule and make travel arrangements for Executive Director and occasionally for immediate family.Position Tactical Focus:Attend meetings the Executive Director is attending to take notes and distribute tasks that may arise during the meeting to the rest of the team as appropriate.

Manage tasks assigned by the Executive Director to the team to assure they are completed on time or assure communication is sent to the Executive Director if there will be unavoidable delays.Manage Executive Director tasks in Asana, creating daily lists for the Executive Director with tasks and due dates to ensure completion.Manage Emails for the Executive Director by filtering and prioritizingManage Calendar by scheduling calls and adding any events the executive Director needs to attend.Be at full discretion with the Executive Director all personal information and passwordsRecords Management: Organize and monitor all records and documents for the Executive Director while also ensuring proper organization, storage, and naming of records.

Special Projects – can range from doing research to data analysis to creative briefs, etc.Required Position Attributes:Self-Motivated: A self-starter who works extremely well in a team environment, but you also excel when it comes to working independently with minimal supervisionExceptionally Well Organized: Able to assess, prioritize and manage competing deliverables in a fast-paced and dynamic work environment both for deliverables specific to this role and inter-departmental.Willing To Travel: Attend company events 2-3 times per year to learn and engage with company programs, philosophies, and our clients, in addition to serving as on-site support for the Executive Director at these events and other personal requests when needed.Confidentiality: Maintain total confidentiality in regard to data, information, and plans accessible by means of this position in supporting the Executive DirectorWhile working remotely, you must be able to work consistent hours and have a distraction-free work environment.Strong project management skills and ability to multitask effectively.Ability to communicate effectively oral and written and be able to create solutions in challenging situations.Efficient: must be able to work efficiently to meet deadlines.High Integrity: Must maintain high integrity in all work and communications – be willing to learn and work in alignment with company values.Tools Proficiency:Must be proficient in using MS Word, MS Excel, and MS PowerPoint.Must be proficient with Google Drive, Google Calendar, Google Docs, and Google Sheets.**Experience in creating direct response marketing materials and metrics preferred.
